Reputive automates review collection and AI responses.
Most businesses know that reviews matter. Far fewer know how to ask for them properly. Wrong timing, the wrong tone, or a complicated process — all of these reduce the chance that a customer will actually write a review.
The Three Pillars of a Successful Review Request
1. Timing — When to Ask
Timing is the most important factor. There is a narrow window in which a customer is willing to write a review:
| Time frame | Likelihood of writing |
|---|---|
| Within 1 hour | Highest — the experience is fresh |
| 1–4 hours | High — they still remember the details |
| 4–24 hours | Medium — needs a stronger prompt |
| 1–3 days | Low — they've moved on to other things |
| 3+ days | Very low — they've forgotten |
Rule of thumb: The sooner after a positive experience, the better. The ideal is 1–2 hours.
Exceptions:
- Auto repair shops, repair services — after the customer picks up their vehicle or item (they can see the result)
- Healthcare — 2–4 hours after the appointment (not at the reception desk)
- E-commerce — after delivery and trying the product (2–3 days)
2. Wording — How to Ask
What works
- Sincerity — "Your review would really help us"
- Simplicity — "It only takes a minute"
- Personal tone — addressing the customer by name
- A reason — "Other customers use reviews to make their decisions"
What doesn't work
- Pressure — "Please give us 5 stars"
- Conditioning — "If you were happy, please leave a review" (violates Google's policies)
- Generic language — "Leave us a review" (no context, no personal touch)
Sample requests for different channels
In person (at departure):
"Thanks for visiting! If you were happy with us, we'd really appreciate a Google review — it helps us a lot."
SMS:
"Hello [name], thank you for your visit today. We'd love a quick Google review: [link]. Thanks! — [Business name]"
Email:
Subject: How was your experience with us? "Hello [name], thank you for choosing [business]. Your feedback helps us improve and helps other customers make informed decisions. If you have a minute, we'd really appreciate your review: [link]."
3. Channel — How to Deliver the Request
SMS — Most Effective
- 98% open rate (Gartner) (vs. 20% for email)
- Read within 3 minutes of delivery
- Direct link = 1 click to a Google review
- Conversion rate: 10–15%
Email — Supplementary
- Suitable for B2B and longer communication
- Allows for more context and formatting
- Often ends up in spam or gets ignored
- Conversion rate: 2–5%
In Person — Most Natural
- Highest chance of immediate action
- Only works if the customer has their phone on them
- Supplement with a QR code or business card with a link
WhatsApp / Messenger — Alternative
- Higher open rate than email, lower than SMS
- More personal tone
- May feel intrusive to some customers

5 Mistakes Businesses Make
1. They Ask Too Late
A request sent a week after a visit has a fraction of the success rate. Automate the timing.
2. They Complicate the Process
A link that leads to the main Google page instead of directly to the review form. The customer has to search for your business and click through multiple steps. Every extra step = fewer reviews.
3. They Only Ask After Good Experiences
So-called "review gating" — filtering for only satisfied customers — violates Google's policies. Ask all customers, neutrally.
4. They Don't Respond to Reviews
Why would a customer write a review for a business that never responds to them? Responding shows that you value feedback.
5. They Ask Only Once
Review collection is not a project but a process. A one-time campaign brings results for a month. A continuous system brings results permanently.
How to Automate It
Manual review collection is unsustainable. You forget, you don't have time, it's not a priority. That's why Reputive exists:
